Medical Office Assistant
Position Summary
novakind Health is seeking a compassionate, detail-oriented Medical Office Assistant to support both front-office and back-office operations in our primary care clinic. Your role will be central to delivering an exceptional patient-first experience — from greeting patients and managing administrative tasks to assisting clinical staff and contributing to seamless patient care.
Essential Functions and Responsibilities of the Job
Front Office & Patient Engagement
Welcome patients with warmth and professionalism, ensuring a positive first impression of our clinic.
Manage patient check-ins and check-outs: verify insurance and information, perform prior authorizations, gather updated demographics, and process payments.
Schedule, confirm, and coordinate patient appointments using our EHR system.
Answer incoming calls and messages, triage appropriately, and ensure timely responses to patient inquiries.
Maintain strict confidentiality and HIPAA compliance for all patient interactions and data.
Assist patients with onboarding and check-in in forms.
Back Office Support
Maintain clinical inventory: monitor supply levels, place orders, and track usage to support efficient operations.
Support follow-up care coordination: send care reminders, schedule follow-ups, and assist with patient education.
Additional cross-training and development opportunities available.
Experience
Previous experience in a medical office setting strongly preferred, especially in primary-care or patient-facing roles.
Excellent interpersonal and customer-service skills; the ability to build rapport with patients and deliver a patient-centric experience.
Proficiency with electronic health-record (EHR) systems, scheduling tools, and standard office software.
Strong organizational skills, attention to detail, ability to multitask, prioritize, and stay composed in a fast-paced environment.

Education
Skills and Qualifications
Education: High school diploma or equivalent required; graduation from a medical-assistant program or certificate preferred.
Certification: Medical Assistant certification (CMA, RMA, or equivalent) preferred.
Work Environment
Full-time role in a family-medicine direct-primary-care practice.

Compensation
